Excel Management of behalf of the client is looking for Office Administrators whose responsibilities will be to ensure that the organization functions smoothly and that the core functions of the organization are supported adequately.

Tasks and responsibilities

• Receive and direct telephone calls and relay conversation and pertinent messages to others while maintaining accuracy, clarity and confidentiality.
• Perform primary contact and establish rapport with clients, visitors and people going in and out of the institution on a daily basis.
• Entertain and answer basic queries made by the clients pertaining to the services provided by the institution, its mission and vision and its rules and regulations
• Create appointment schedules for the clients.
• Ensuring the comfort and seeing to the needs of the clients, visitors and people dropping by the institution.
• Assess the various needs and purposes of the clients and direct them to the proper sources in order to address their concerns.
• Receive, obtain and store pertinent client information and ensure validity, completeness, accuracy and confidentiality of these records.
• Maintainrecordsandkeeptrackoftheinstitution’ssuppliesandthepurchasesmade.
• Maintain records of staff attendance, leave schedules and other documents
• Ensure the proper filing of pertinent documents.
• Plan, coordinate and organize various meetings, events and conferences within the company.
• Function as the receiver of official documents and important mail addressed to the office.
• Perform active participation in meetings and conferences and take down relevant notes during the process.
• Serve as the provider of informal guidance and conduct training to new employees and conduct close monitoring on the employees’ productivity and progress.
• Ensure that all office personnel and colleagues adhere closely to the rules and regulations of the institution.
• Serve as the receiver of important mail, documents and ordered items delivered to the organization’s address.
• Perform a series of secretarial functions for the committee and provide additional services depending on the individual policies of the institution
• Maintain cleanliness of the organization's premises
• Other tasks as assigned by the Manage

Minimum Qualifications:
• High school diploma from an accredited institution
• General education degree.
• Interest in working with customers.

Skills and competencies:
• Excellent communication skills
• Ability to communicate fluently in English and Swahili
• Proficient in typing and good at spelling, punctuation, grammar, and oral communication. Good customer service and interpersonal skills
• Discretion, good judgment, organizational or management ability, initiative, and the ability to work independently
• Ability to understand as well as grasp basic customer information.
• Ability to handle diverse people.
• Flexibility, proactive and perseverance.
• Should be able to operate well under tight pressure.
