Assistant
Summary
Responsible for providing office administrative support, assists with
managing schedules, coordinating meetings and travel, answering phones, and
communicating with clients and suppliers.
Primary
responsibilities
·
Receiving and directing visitors, typing, and
filing documents.
·
Managing schedules,
coordinating appointments, meetings, and business travel.
·
Scheduling conference rooms.
·
Planning, supporting, and
implementing logistics for executive level internal events.
·
Coordinating meetings,
teleconference and video conferences.
·
Preparing, recording, filing and/or
coordinating delivery of letters and correspondences to clients and vendors.
·
Coordinating with customers and
vendors to obtain and exchange information and documentation related to legal
matters, etc.
·
Assessing the urgency of
situations and determining appropriate actions, monitoring status of pending
item, providing follow up and keeping management informed by communicating a
wide variety of information.
·
Training support staff in the
use of all office systems, including filing procedures.
·
Providing
information by answering questions and requests.
- Maintaining supplies inventory by checking stock to determine
inventory level; anticipating needed supplies; placing and expediting approved
orders for supplies; verifying receipt of supplies.
- Any other as may be required,
The position requires a candidate with excellent
communication and interpersonal skills.
Qualifications:
Diploma and/or Advanced Diploma in business,
secretarial and/or office management, Bachelor’s degree in Business
Administration, Commerce or in a related field with not less than 1 year
experience in Administrative position. Experience of previously working in a
Law Firm will be an added advantage.
